Description
This position provides clerical support to the Human Resources Department. Responsibilities include supporting employment services and recruitment/hiring activities; maintaining filing systems and documents; revising publications and documents; generating documents and reports; coordinating special events; and department-wide general clerical duties.
Primary Duties
- Provides general clerical support for HR department personnel to include: preparation and distribution of correspondence, custom reports, documents, and databases; database entry in Access.
- Serves as point of contact for internal and external queries received via email and telephone; researches information or forwards requests to other parties as needed.
- Provides clerical support related to the recruitment/hiring process for AOPC and District Courts to include: preparing offer of employment, welcome, and regret letters; placing employment advertisements and postings; updating orientation books; scheduling interviews; and responding to inquiries regarding employment opportunities.
- Prepares new hire packets for AOPC, District Courts, and appellate staff; revises checklists as needed.
- Prepares personnel transaction forms for timely processing. Ensures accuracy of data elements and secures required approvals. Interfaces with payroll unit and ASAP as necessary.
- Updates policy and procedural manuals, hiring guides, supervisor guides and informational handouts.
- Serves as filing and record retention officer for the department. Develops and maintains electronic and hard copy administrative, clerical and filing procedures as well as retention schedules and purging guidelines.
- Maintains files and documents. Ensures contents are organized to conform to established guidelines; updates documents and files according to established procedures and schedules.
- Updates personnel directories to reflect employment transactions and status changes on a timely basis.
- Coordinates employee outreach and community programs as needed.
- Partners with other HR administrative personnel to ensure routine clerical/administrative office duties are performed regularly (i.e. general filing, organization of communal resources, calendaring).
- Provides backup phone and email support for the department as needed.
Minimum Qualifications
- High school diploma or equivalent; AND
- One year of experience performing moderately complex clerical or secretarial work.
- An equivalent combination of education, experience, and / or training may be considered.
Additional Requirements/Preferences
- Satisfactory criminal background check required.
- Human Resources experience preferred.
- Proficient with Microsoft Office products including Excel and Word required.
